Step by step to your trade fair appearance

Exhibitor registration is the first step in preparing your successful trade fair appearance. We have compiled further important stages and information for your planning below. You are also welcome to use our checklist.

1. placement process - Find your perfect stand space at f.re.e

After the start of the placement, you will receive a placement proposal by e-mail to the correspondence contact named in your application.

  • Please check this proposal carefully, especially with regard to location, stand type and size. If everything meets your expectations, you can confirm your stand space by clicking on the "Accept" button and thus conclude a binding contract.
  • If you would like a different placement, please click on the "Reject" button and describe your preferred placement request in as much detail as possible. We will then do our best to provide you with a new placement proposal within the possibilities.

As soon as you have confirmed your stand proposal, you will receive your admission invoice from mid-November 2024. Further information can be found under "6. Invoicing - admission and final invoice".

2. stand construction - planning the perfect exhibition stand

The stand space booked via online registration does not include stand construction. You have the following alternatives for constructing your stand:

  • use your own stand construction, of course in compliance with the Technical Guidelines; you can book services from the Exhibitor Shop, such as electricity
  • Individual ordering of equipment such as electricity, partition walls, furniture, lighting, etc. (via the Exhibitor Shop)
  • Commissioning of a stand constructor, e.g. meplan
  • Booking of the f.re.e stand package using the appropriate form (see Exhibitor Shop), which includes all necessary basic services except the stand space

Submit any necessary documents to the Technical Exhibitor Service (TAS) in the following cases:

  • The stand or advertising height is over 3m (stand plan)
  • the stand size is over 100 square meters (stand plan)
  • Stand covers are available (stand plan)
  • a vehicle is issued (form 1.2 "Application for preventive fire protection" in the Exhibitor Shop).

3. exhibitor store - order all services for your exhibition stand conveniently online

To perfectly equip your stand, we offer you a wide range of services such as electricity, cleaning, security and parking permits, which you can conveniently order online via our Exhibitor Shopfrom November.

  • After you have confirmed your placement proposal, you will receive access data for the Exhibitor Shop by e-mail.
  • Please note that there are order deadlines and surcharges may be levied for orders placed at very short notice.
  • Security for the exhibition stand is not included in the standard package, so we recommend that you book your own security in the Exhibitor Shop if required.
  • If you are planning an evening event at your stand, you can also register this using the corresponding form in the Exhibitor Shop.
  • You can also create your exhibitor passes via the Exhibitor Shop. These are available to you fully personalized and electronically as a mobile ticket for smartphone and tablet or as a Print@Home ticket. As a main exhibitor, you have the option of a contingent of free permanent exhibitor passes, the number of which is listed in your placement proposal. You will only be charged for passes that are used, whereby the first passes used are automatically considered free of charge.

4. your entry in the f.re.e exhibitor directory and in the f.re.e visit planner

Your entry in the exhibitor directory and in the f.re.e visit planner is managed by the publishing house f.re.e Media Services c/o jl. Medien e.K. and is therefore our only partner in this field.

  • From mid-October you will receive a proof of your entry from the publisher. Please check it carefully and give the publisher feedback if necessary.
  • Take the opportunity to optimize your entry in the list of exhibitors by making use of the maximum number of three entries in the list of goods and three destinations or brands (see also Conditions of Participation B, B10). This will make it easier for interested visitors to find you.
  • In the f.re.e Visit Planner, you have the option of booking additional chargeable services such as the integration of your logo.

Attention!

We would like to point out that exhibitors at f.re.e are often contacted by external companies who are supposedly acting on behalf of Messe München. Please note that these companies have not been commissioned by us.

5. assembly and dismantling - practical tips

All information regarding set-up and dismantling, logistics and traffic on the exhibition grounds - e.g. traffic guidelines, delivery of goods, authorized forwarding agents - can be found under Logistics & Traffic.

6. invoicing - admission and final invoice

As soon as you have confirmed your stand proposal, you will receive your admission invoice from mid-November 2024.

  • Please note that the invoice will always be issued to the company registered as an exhibitor. If you require a different invoice recipient, please contact the project group in good time by e-mail at projektleitung@free-muenchen.de to request and return a corresponding form.
  • Co-exhibitors may not specify a different invoice recipient. Subsequent changes to the invoice will be charged at EUR 50.
  • Subsequent changes to the invoice will be charged at EUR 50.

The final invoice will be sent to you approximately 4 to 6 weeks after the trade fair. The "Advance payment for services" item listed on the admission invoice will be taken into account.

7th early bird discount for f.re.e 2026

Take the opportunity to secure the early bird price for next year during the trade fair. From February 19, 2025, you can register online for f.re.e 2026 and benefit from particularly favorable participation conditions.

Co-exhibitor registration - share your stand space at the trade fair

We would like to point out that the co-exhibitor registration must be received by January 19, 2025. You can find out how to register co-exhibitors here.

Further advertising opportunities - advertising space and vouchers for customers

If you wish, you can order online vouchers for customers and invite them to the trade fair. This is very easy via the Exhibitor Shop. You will be billed via the exhibitor's final invoice. Only vouchers that are actually used will be charged.

You can also present yourself to visitors outside your stand by booking attractive advertising space on the exhibition grounds. You will find an overview of the advertising spaces available, such as promotion teams or Windmasters on the way to the entrance, in the advertising space brochure.

Free participation in the stage program

  • You can also increase your own presence outside the stand very effectively with a free presentation, e.g. with a talk, a prize draw, a film, on one of the numerous f.re.e stages.
  • Registration will take place from October 2024. You can find the online registration link under Exhibitor Shop & Marketing Services.

Exhibitor evening - Networking with like-minded colleagues

  • The f.re.e exhibitor evening traditionally takes place on the Friday of the fair , in the beer garden by the show stage in Hall A5.
  • You will receive an invitation by separate e-mail in January.
  • Places are in high demand and fill up quickly. If you are interested, you should register as soon as possible after receiving your invitation.

Set-up and dismantling times

Structure

February 9, 2024, 08:00 a.m., until February 13, 2024, 6:00 p.m.

On the last set-up day, all delivery and set-up vehicles must be removed from the halls and the outdoor area by 18:00. Stands may be decorated until 20:00.

Please note the deposit regulation on the last set-up day with the time-limited entry of max. 1 hour and the deposit of € 100.00 cash.

Extension of the set-up time is only possible with the written approval of the TAS main department.

Dismantling

February 26, 2023, 6:00 p.m., until February 28, 2023, 6:00 p.m.

Admission for stand construction companies and suppliers on February 18, 2024 not before 19:00. Unfortunately, it is not possible to extend the dismantling time.

No special passes are required for assembly and dismantling.
